Ulwell Holiday Park – Terms & Conditions and Park Rules

These Terms & Conditions and Park Rules form a legally binding agreement between you and Ulwell Park Ltd. They are issued in line with guidance from the British Holiday & Home Parks Association (BH&HPA) and UK consumer law, including the Consumer Rights Act 2015. Nothing in these terms affects your statutory rights.

We reserve the right to amend these Terms & Conditions and Park Rules where reasonably necessary. Where changes materially affect your booking, you will be notified in accordance with the law.

1. Reservations

1.1 You must inform Reception at the time of booking of any special requirements, including mobility or accessibility needs, so we can advise on suitability.

1.2 Well-behaved dogs are welcome by prior arrangement. A maximum of two dogs per booking is permitted unless otherwise agreed at our discretion. Dogs are STRICTLY FORBIDDEN on furniture including chairs, sofas, beds and seating in public spaces. Dogs must not be left unattended in either your Holiday Home or your own Touring Van/Caravan for prolonged periods of time. Dogs are only allowed in our dedicated pet friendly Holiday Homes.

1.3 You must declare at the time of booking:

  • The total number of guests (including children under 16)
  • The number of vehicles
  • The exact size of touring caravans or motorhomes
  • Details of any awnings, gazebos or additional equipment

1.4 Any changes to your booking details must be notified to the Park before arrival and are subject to availability and suitability.

1.5 Please check your booking confirmation carefully. Any discrepancies must be reported as soon as possible. Amendments requested more than 24 hours after booking may incur an administration fee.

1.6 A booking is confirmed once we receive a deposit of 25% of the total cost or £30 (whichever is greater). Bookings made within 6 weeks of arrival must be paid in full at the time of booking.

1.7 Payment of a deposit or full balance constitutes acceptance of these Terms & Conditions.

1.8 Group bookings are accepted at our discretion. You are advised to inform us if your booking is linked to other bookings or is part of a group so that we can best accommodate you.

2. Final Balance

2.1 The remaining balance must be paid no later than 6 weeks before arrival.

2.2 Failure to pay the balance by the due date may result in cancellation of your booking without refund of the deposit.

3. Cancellation Policy

3.1 Your booking forms a legally binding contract. We strongly recommend that you take out appropriate holiday insurance.

3.2 Cancellations must be notified in writing by email to enq@ulwellholidaypark.co.uk or by post to the Park address.

3.3 Cancellation charges are as follows:

  • 42 days or more before arrival: refund of monies paid minus 20%
  • Less than 42 days before arrival: if we re-sell the holiday in part or full, we refund 80% of the value of the new booking
  • Within 24 hours of booking: full refund

3.4 If we cancel your booking for any reason, you will receive a full refund of all monies paid.

3.5 Refunds will be made using the original payment method.

4. Amendments to Bookings

4.1 We will make reasonable efforts to accommodate booking amendments, subject to availability.

4.2 Amendments requested more than 7 days after booking and up to 42 days before the holiday date are subject to an administration fee of £20 (including VAT).

4.3 Up to 42 days before arrival:

  • Any price increase must be paid by you
  • Any price decrease will be refunded

4.4 Within 42 days of arrival:

  • Only minor amendments (party members, number of vehicles, hire of linen) possible, no date or pitch changes are possible.

4.5 Amended bookings must take place within twelve calendar months of the original arrival date.

4.6 Each booking may only be amended once.

4.7 If an amendment cannot be accommodated, it will be treated as a cancellation and the cancellation policy will apply.

5. No-Shows and Early Departure

5.1 No refunds are payable if you or any member of your party fails to arrive or leaves early, except where required by law or where clause 9 applies.

6. Special Offers

6.1 Bookings made under special offer terms (including late breaks or discounted rates) are subject to specific conditions and are non-refundable and non-amendable, except where we cancel the booking.

7. Payments

7.1 We accept the following payment methods:

  • Bank transfer (details provided on request)
  • Debit or credit card (Visa or Mastercard only)

7.2 All prices include VAT at the prevailing rate.

8. Personal Data

8.1 We process personal data in accordance with UK data protection legislation. Please refer to our Privacy Policy for further details.

8A. Use of Digital Media, Photography and Recording

8A.1 For the enjoyment, privacy and safety of all guests, the use of digital media on the Park must be respectful and lawful at all times.

8A.2 You may take photographs or videos for personal, non-commercial use only, provided this does not cause nuisance, harassment or distress to other guests, visitors or staff.

8A.3 You must not photograph, film or record other guests, their children, vehicles, accommodation or staff without their explicit consent. Particular care must be taken in sensitive areas, including but not limited to swimming pool areas, changing facilities, toilets and shower blocks, where photography and video recording are strictly prohibited.

8A.4 The use of drones, body-worn cameras or any form of surveillance or recording equipment is not permitted on the Park.

8A.5 Any images, video or audio recordings taken on the Park must not be used for commercial purposes, publication, promotion, review platforms or social media in a manner that is misleading, defamatory, invasive of privacy or which brings the Park, its guests or staff into disrepute.

8A.6 We reserve the right to require the immediate deletion of any digital content created in breach of this clause and may take further action, including termination of your booking, where behaviour is unreasonable or unlawful.

8A.7 From time to time, we may take photographs or video recordings on the Park for marketing or promotional purposes. Where individuals are identifiable, consent will be obtained in accordance with data protection law.

9. Exceptional Circumstances (Force Majeure)

9.1 We may make reasonable changes to services where required by law, safety considerations or circumstances beyond our control.

9.2 If changes significantly affect your holiday, you will be offered the option to:

  • Accept the changes
  • Transfer to alternative dates
  • Cancel for a full refund

9.3 Where legal restrictions prevent us from providing your holiday, you may choose to postpone or cancel with a full refund for unused days.

10. Holiday Homes

10.1 Holiday Homes are available from 3:00pm on arrival and must be vacated by 10:30am on departure.

10.2 Please notify Reception if arriving after 5:00pm.

10.3 Occupancy must not exceed the number stated on the booking.

10.4 Linen inclusions and hire charges apply as detailed at the time of booking. Linen is provided for Oak and Hawthorne caravans but not for Willow, Birch or Delta Dens. For those without linen provided you will need to bring your own or hire it for an additional charge in advance of your arrival.

10.5 Dogs are only allowed in dog friendly caravans, any breach of this may result in your holiday being curtailed (subject to conditions). Dogs must not be left unattended for long periods and are NOT permitted on beds or seating in holiday homes or in public areas.

10.6 You must report any issues promptly. Excessive cleaning or damage may incur a minimum charge of £150 (minor damages such as crockery & glasses are not charged).

10.7 All Holiday Homes are strictly non-smoking. A minimum charge of £150 may apply for smoke damage.

10.8 We reserve the right to move you to a similar unit within the same category if necessary.

11. Touring and Camping

11.1 Pitches are available from 12:00 noon and must be vacated by 11:00am.

11.2 One additional item (awning or gazebo) is permitted per pitch unless otherwise stated. Additional tents are generally not allowed unless the tent is small enough as to avoid overcrowding and the risk of fire.

11.3 Maximum occupancy per pitch is six persons, except for hike tent pitches which is two people.

11.4 Specific pitch restrictions apply to TP01-TP14 where no tents, trailer tents or gazebos are allowed. If any of these items are found on those pitches we will ask for them to be removed.

12. Park Rules (Applicable to All Guests)

12.1 Park Rules form part of these Terms & Conditions and must be complied with at all times.

12.2 Quiet hours are 11:00pm – 7:00am.

12.3 Dogs must be kept on leads at all times EXCEPT when in the dedicated dog exercise area. Fouling must be cleared immediately using animal waste hygiene bags deposited in the bins provided.

12.4 Vehicles must not exceed 10mph and must be insured and driven by licensed drivers only. You must hold a full, valid driving licence to drive any vehicle on the Park. Only vehicles that are road legal are permitted. Learner drivers and driving lessons are not permitted.

12.5 Drones, fireworks and Chinese lanterns are prohibited.

12.6 Barbecues are permitted only in safe areas and must never be left unattended. Barbecues must be kept away from banks, hedges, tents, awnings and flammable materials. Disposable barbecues must not be used on decking and must only be disposed of when completely cold.

12.7 The Park reserves the right to ask any guest causing nuisance, behaving unreasonably, using aggressive behaviour or foul language to leave the Park without refund.

12A. Swimming Pool Rules

12A.1 Swimming pool passes are issued on arrival for the number of occupants on the booking and are non-transferable. A charge may apply for replacement passes.

12A.2 All pool sessions are subject to availability.

12A.3 Children under the age of 12 and/or non-competent swimmers must be supervised at all times. The supervision ratio is one responsible adult to every two children under 12.

12A.4 Pool rules displayed at the facility must be complied with at all times.

13. Health, Safety and Conduct

13.1 You must comply with all health and safety notices and reasonable instructions from staff.

13.2 Children must be supervised at all times. Pool supervision rules must be strictly followed.

13.3 You must not carry on any trade, business, selling, hiring, promotion or commercial activity of any kind on the Park without our prior written consent.

13.4 You must familiarise yourself with the location of Fire Points and comply with all fire safety notices. Misuse or tampering with fire or medical safety equipment may result in immediate termination of your booking.

13.5 You must not store fuels or combustible materials other than approved LPG containers.

13.6 You must not introduce foreign objects into the drainage system, including wipes, nappies, sanitary products, fats, oils, grease or paint.

13.7 Group bookings must not join pitches, form camps or exceed occupancy limits. Groups must behave considerately and comply with all safety requirements.

13.8 For safeguarding reasons, you must not permit any person to use the Park where you are aware that they present a risk to others. We reserve the right to refuse or terminate a stay where there is a reasonable safeguarding concern.

13B. Deliveries and Access

13B.1 For health and safety reasons, unauthorised third-party deliveries are not permitted on the Park.

13B.2 Larger deliveries must be arranged in advance with Reception. We reserve the right to charge for handling or delivery assistance.

13B.3 Third-party food deliveries may only be made to the lay-by on Ulwell Road opposite the Park entrance.

13C. Keys and Access

13C.1 We reserve the right to access Holiday Homes where necessary for emergency, safety, maintenance, inspection or security purposes. We will make reasonable efforts to contact you using the details on your booking.

14. Liability

14.1 We do not exclude or limit liability where it would be unlawful to do so.

14.2 We are not responsible for loss or damage caused by third parties or for items left unattended.

15. Our Commitment to You

15.1 We will provide your holiday with reasonable care and skill.

15.2 We hold public liability insurance to a minimum value of £5,000,000.

16. Complaints

16.1 Any concerns must be raised with Reception during your stay to allow us the opportunity to resolve them.

16.2 If unresolved, please contact the Reception Manager. Your statutory rights remain unaffected.

 

Park Opening Dates

The Park is open 1 March – 7 January.

The Village Inn Complex, Village Shop and Pool operate year-round (excluding Christmas Day).

    A lovely quiet site, nice warm amenities with good sized shower cubicles, shop not open yet as it’s too early but the local pub is ideal. Staff were very friendly and helpful. If you’re reasonably fit you can walk into Swanage but the bus service is great so why would you want to. Overall a very nice break, we will be back.

A lovely comfy pub on site for drinks and a bowl of chips, a small shop, swimming pool, large play are with park, and the bus stops right outside.. what more could you want

    We have just returned after a brilliant Easter break. Couldn’t fault anything at all and we didn’t want to leave. We didn’t visit the pub but the shop is stocked with local produce and essentials. The facilities are great and the location convenient. Our van was spotless and had everything we needed. We will definitely be back
